Please, make sure that the guidelines are read carefully before your work is submitted.<\/p>\n<p>The IEEE CSR conference (including workshops) proceedings will be published by the IEEE and will be included in IEEE Xplore.<\/p>\n<p>All the submissions <strong>must be original work of sufficient depth and detail<\/strong> to be evaluated by expert reviewers in the field. Overlaps with previously published or simultaneously submitted papers, from any of the authors, should be clearly documented in the manuscript. All the submissions are expected to present the prior state-of-the-art in the field and clearly discuss the paper\u2019s significant and novel contributions. This is imperative for regular research papers, and involves highlighting how the current contributions differ from and advance the state-of-the-art.[\/vc_column_text]<div class=\"events_heading text-left \">\n<h2>Conference Management System\/Easychair<\/h2>\n<hr\/><\/div>[vc_column_text css=&#8221;&#8221;]The IEEE CH conference and all the workshops utilize the same <a href=\"https:\/\/easychair.org\/conferences\/?conf=ieeech2025\" target=\"_blank\" rel=\"noopener noreferrer\">conference management system<\/a> (Easychair) to handle all submissions and the reviewing process. Submitting authors will have to provide the paper\u2019s details before uploading their manuscript (see details below).<\/p>\n<p>When submitting your manuscript, please make sure that it is submitted to the intended Track or Workshop\u00a0 by selecting the proper item in the submission form.\u00a0 In accordance to the call for papers (CFP), the main conference provides 9 distinct tracks:<\/p>\n<ul style=\"margin-left: 32px;\">\n<li><strong>T1<\/strong>Digitization &amp; Monitoring<\/li>\n<li><strong>T2<\/strong>Processing &amp; Curation<\/li>\n<li><strong>T3<\/strong>Storage &amp; Preservation<\/li>\n<li><strong>T4<\/strong>Protection &amp; Security<\/li>\n<li><strong>T5<\/strong>Retrieval &amp; Analysis<\/li>\n<li><strong>T6<\/strong>Reuse &amp; Valorization<\/li>\n<li><strong>T7<\/strong> SSH Research Infrastructures<\/li>\n<li><strong>T8<\/strong> Ethical &amp; Legal Aspects<\/li>\n<li><strong>T9<\/strong>Societal &amp; Educational Aspects<\/li>\n<\/ul>\n<p>If you are not sure which venue or track you should submit your paper, you can use the list of topics as a general guideline. Submitted papers should have an abstract not exceeding 150 words and be assigned a list of keywords, typically between five to eight; these are also provided into the conference\u2019s CMS (Easychair) during the paper submission process, where the paper\u2019s <strong>Submission Type<\/strong> to be defined in has to be defined<\/p>\n<ul style=\"margin-left: 32px;\">\n<li>Regular papers;<\/li>\n<li>SoK papers;<\/li>\n<li>Industrial papers; and<\/li>\n<li>Other.<\/li>\n<\/ul>\n<p>The last option should be used for tutorials or demos. The reviewers will take the paper\u2019s type into account when conducting their reviews.<\/p>\n<p>The submitting author is responsible for obtaining the appropriate publication clearances before the manuscript\u2019s submission. Manuscripts received after the submission deadline or failing to conform to the conference\u2019s guidelines, risk rejection without a review. In any case, you can contact the Program Chairs (PC) for matters related to the technical program.<\/p>\n<p>Authors will have to access the IEEE CH <a href=\"https:\/\/easychair.org\/conferences\/?conf=ieeech2025\" target=\"_blank\" rel=\"noopener noreferrer\">Easychair<\/a> in order to submit their papers. Once this is done, please follow the steps below:<\/p>\n<p>The above process is repeated for each paper; note that the submission deadlines are in <strong>local timezone<\/strong> as defined by the conference&#8217;s location (city, country). If you face any issues with the conference management system, please e-mail us at emanuele.bellini@ieee.org[\/vc_column_text]<div class=\"events_heading text-left \">\n<h2>Formatting and Page Lenght<\/h2>\n<hr\/><\/div>[vc_column_text css=&#8221;&#8221;]<span lang=\"EN-US\">Manuscripts submitted to IEEE CSR conference and workshops must not exceed <b>6 pages<\/b>, including tables, figures<strong>, <\/strong>references and appendices, <b>plus 2 extra pages<\/b> being subject to overlength page charges (100 EUR per page); the same applies to camera-ready papers. The reviewers should not be required to read appendices. Manuscripts can be less than 6 pages, but should have a contribution similar to a full length paper.<\/span><\/p>\n<p><span lang=\"EN-US\">The manuscripts must be formatted for <b>US letter<\/b> (8.5&#8243; x 11&#8243;) size paper, in two-column layout, with 10pt Times font and 11pt line spacing. The authors should pay attention to unusual fonts (they should all be embedded), images, and figures that could cause problems to the reviewers. Your document should render correctly in the latest version of the Adobe Reader and when printed in grayscale. The authors are encouraged to use the <\/span><span lang=\"EN-US\">IEEE conference proceedings templates<\/span><span lang=\"EN-US\"> and follow the <a href=\"#manuscript-preparation\"><b>Manuscript Preparation Guidelines<\/b><\/a>, which are applicable to the IEEE CH conference and workshops.<\/span><\/p>\n<p><span lang=\"EN-US\">All submissions must be in Portable Document Format (.pdf); they will be checked for conformance to the preparation guidelines. Failure to adhere to page limit and formatting requirements can be grounds for rejection without a review. High-quality submissions with correct English spelling and grammar will be appreciated by the reviewers.<\/span>[\/vc_column_text]<div class=\"events_heading text-left \">\n<h2>Review Process<\/h2>\n<hr\/><\/div>[\/vc_tta_section][vc_tta_section i_icon_fontawesome=&#8221;fas fa-sticky-note&#8221; add_icon=&#8221;true&#8221; title=&#8221;Manuscript preparation&#8221; tab_id=&#8221;1735925815714-ba5e4cbb-9e6f&#8221;][vc_empty_space][vc_column_text css=&#8221;&#8221;]Manuscripts submitted to IEEE CSR conference and workshops must be formatted for <b>US letter<\/b> (8.5&#8243; x 11&#8243;) size paper, in a two-column layout with columns no more than 9.5&#8243; tall and 3.5&#8243; wide, and margins no less than 0.75&#8243; (top) x 1&#8243; (bottom) x 0.625&#8243; (left\/right sides). The text must be in 10pt Times font or larger and 11pt minimum line spacing.<\/p>\n<p>To ensure a consistent format for papers appearing in IEEE CSR conference proceedings, templates for both <b>LaTeX<\/b> and <b>MS Word<\/b> are provided. Authors are strongly encouraged to use the following templates (last update: Oct. 1, 2024):<\/p>\n<ul style=\"margin-left: 32px;\">\n<li><a href=\"https:\/\/www.ieee-ch.org\/wp-content\/uploads\/2025\/01\/ch-latex-template.zip\"> IEEE CH LaTex Template<\/a> (790 KB)<\/li>\n<li><a href=\"https:\/\/www.ieee-ch.org\/wp-content\/uploads\/2025\/01\/ch-word-template.docx\">IEEE CH MS Word template<\/a> (35 KB)<\/li>\n<\/ul>\n<p>which are improved versions of the standard <a href=\"https:\/\/conferences.ieeeauthorcenter.ieee.org\/write-your-paper\/authoring-tools-and-templates\" target=\"_blank\" rel=\"noopener noreferrer\">IEEE conference proceedings templates<\/a> (last update: Jun. 27, 2024). When working in Overleaf, the <a href=\"https:\/\/www.overleaf.com\/latex\/templates\/ieee-bare-demo-template-for-conferences\/ypypvwjmvtdf\" target=\"_blank\" rel=\"noopener noreferrer\">IEEEtran class version 1.8b template<\/a> (last update: Aug. 26, 2015) in conference mode is available.<\/p>\n<p>Authors&#8217; numbering should be avoided, whereas authors&#8217; affiliation in IEEE conferences is listed under their name, unlike IEEE transactions; <strong>do not add page numbering, header or footer<\/strong>. LaTeX users should have the following as the first line in the manuscript\u2019s source file:<\/p>\n<pre>\\documentclass[10pt,conference]{IEEEtran}<\/pre>\n<p>All submissions must be in Portable Document Format (.pdf); compliance to the formatting guidelines is checked during the initial submission of a paper, but is enforced in the submission phase of the final manuscripts.<\/p>\n<p>Please follow the steps below to prepare the <strong>camera-ready<\/strong> version of your accepted paper.[\/vc_column_text]<div class=\"events_heading text-left \">\n<h1>1. Copyright Clearance Code<\/h1>\n<hr\/><\/div>[vc_column_text css=&#8221;&#8221;]Authors should submit their camera-ready version of their accepted papers <strong>without copyright clearance code<\/strong> (at the bottom of first page) <strong>or other markings<\/strong>. The IEEE CH publication chairs and the IEEE publishing operations team will add the correct metadata to the conference and workshops&#8217; papers before posting to IEEE Xplore\u00ae. The guidelines and policies on all aspects of IEEE intellectual property rights for authors can be found at <a href=\"https:\/\/www.ieee.org\/publications\/rights\" target=\"_blank\" rel=\"noopener noreferrer\">https:\/\/www.ieee.org\/publications\/rights<\/a>.[\/vc_column_text]<div class=\"events_heading text-left \">\n<h1><span lang=\"EN-US\">2. IEEE PDF eXpress<\/span><\/h1>\n<hr\/><\/div>[vc_column_text css=&#8221;&#8221;]When submitting the <strong>camera-ready<\/strong> version of their accepted paper, authors are required to use IEEE PDF eXpress for checking if their final PDF file is Xplore-compliant. The website can also be used to convert source files into an IEEE Xplore-compliant PDF file; LaTeX users can upload a ZIP with all source files and supported image files for the system to produce a compliant PDF file, while MS Word users only need to upload the Word file.<\/p>\n<ul style=\"margin-left: 32px;\">\n<li>Go to IEEE PDF eXpress website: <a href=\"https:\/\/ieee-pdf-express.org\" target=\"_blank\" rel=\"noopener noreferrer\">https:\/\/ieee-pdf-express.org<\/a>;<\/li>\n<li>Login or create an account using <strong>65308X\u00a0<\/strong> as conference ID;<\/li>\n<li>Upload the PDF file for checking or the source file(s) for conversion;<\/li>\n<li>You will receive an email stating that PDF has passed or failed the check;<\/li>\n<li>Review the PDF to ensure it looks as it did if source files were provided.<\/li>\n<\/ul>\n<p>The validated PDF file obtained from PDF eXpress is the one that <strong>must be uploaded<\/strong> at the <a href=\"https:\/\/easychair.org\/conferences\/?conf=ieeech2025\" target=\"_blank\" rel=\"noopener noreferrer\">conference management system<\/a> (CMS) as the final version; it includes a label in the PDF metadata that certifies compatibility with IEEE Xplore. Papers that are not compliant will not be included in the proceedings nor get published.[\/vc_column_text]<div class=\"events_heading text-left \">\n<h1><span lang=\"EN-US\">3. IEEE Copyright Form<\/span><\/h1>\n<hr\/><\/div>[vc_column_text css=&#8221;&#8221;]The authors of accepted papers must complete the electronic IEEE Copyright Form (eCF) for digitally transferring ownership rights of the intellectual property to IEEE. The procedure shoudl be done on Easychair.<\/p>\n<p>Please ensure that the details shown here <strong>match exactly<\/strong> those in the camera-ready paper; changes to the paper&#8217;s information\u00a0<b>are not allowed<\/b> at this stage.<\/p>\n<p>The IEEE eCF website will walk you intuitively through the process to ensure that the correct copyright form is signed.<\/p>\n<p>A PDF copyright document will be created and stored on the IEEE file system; you will have the ability to download the document, a copy of which will also be sent to you via email.<\/p>\n<p>The signed copyright form should also be uploaded on the IEEE CH Easychair.[\/vc_column_text]<div class=\"events_heading text-left \">\n<h1><span lang=\"EN-US\">4. Conference Registration<\/span><\/h1>\n<hr\/><\/div>[vc_column_text css=&#8221;&#8221;]To publish an accepted paper in IEEE CH conference and workshop proceedings and submit it for inclusion in IEEE Xplore, as well as other Abstracting and Indexing (A&amp;I) databases, <strong>at least one author<\/strong> is required to register at full rate for the conference. Non-refundable registration fees must be paid in due time before submitting the camera-ready manuscript. Note that for all <strong>Participant Types<\/strong>:<\/p>\n<ul style=\"margin-left: 32px;\">\n<li>One author registration is valid for a single paper; read also the <a href=\"#registration-fees-payment\"><strong>Registration Fees Payment<\/strong><\/a> instructions.<\/li>\n<\/ul>\n<p>The above hold for the IEEE CH conference and all workshops. The paper registration process is made available througha dedicated form on the <strong>Conference portal.\u00a0<\/strong> Students and IEEE members must upload (using the <strong>Upload File<\/strong> menu) the necessary IDs for proving their status and allow verifying the correctness of the registration fee calculation.<\/p>\n<p>Accepted papers <strong>must be presented in-person<\/strong>\u00a0by one of the authors in order to be published in IEEE CSR conference and workshop proceedings and included in IEEE Xplore. For more information, please refer to <a href=\"#ieee-csr-policies\"><strong>IEEE CSR Policies<\/strong><\/a>.[\/vc_column_text]<div class=\"events_heading text-left \">\n<h1><span lang=\"EN-US\">5. Camera-Ready Paper Upload<\/span><\/h1>\n<hr\/><\/div>[vc_column_text css=&#8221;&#8221;]The final camera-ready paper <strong>produced by IEEE PDF eXpress<\/strong> (see the instructions above in Section 2) must be uploaded via the IEEE CH <a href=\"https:\/\/easychair.org\/conferences\/?conf=ieeech2025\" target=\"_blank\" rel=\"noopener noreferrer\">conference management system<\/a> by selecting the <b>Proceedings<\/b> section.<\/p>\n<p>Please, double check the information that is provided during the final submission, including the paper\u2019s title and abstract as well as the name, affiliation, and e-mail address of the authors; please, list authors in order of authorship. Be aware that in addition to any corrections proposed by the reviewers, only minor changes to the title and abstract are accepted (only before signing the IEEE eCF), whereas <b>no changes to the authors\u2019 list are allowed<\/b>. In order to avoid the likelihood of this, authors are <strong>strongly encouraged<\/strong> to get all the necessary company or government approvals prior to submitting their papers to IEEE CH. If under any circumstances it becomes necessary for an author to withdraw or change a paper, the IEEE policy dictates that the request to do this must come directly from the author and not from any third party.
